The Situation

Good calls, weak follow-through. Everyone recognises this one.

A sales conversation goes well. The prospect names their problem, their timeline, their budget range. Everyone nods. Then the next meeting starts, and the next. The follow-up email gets written on Friday, from memory, if at all. The offer goes out the week after. By then the energy is gone and the prospect has had two other conversations.

What I Built

A meeting-to-action pipeline:

  • Fireflies records and transcribes every call.
  • Claude reads the transcript and pulls out what was actually agreed: the pain, the promised next steps, the numbers mentioned, the objections that came up.
  • A follow-up email is drafted within minutes of the call ending, referencing the specific things the prospect said, in the rep's own tone.
  • When the call included pricing, an offer draft is generated with the right scope and numbers, ready for a human to check and send.
  • Everything lands in Slack and in HubSpot, so the CRM is up to date without anyone typing notes.

The Results

  • Follow-ups go out the same day, every time. Not when someone gets around to it.
  • Offers reference what the prospect actually said, because the draft was written from the transcript, not from a memory of the call three days later.
  • CRM notes are complete for the first time. Nobody wrote them. They just exist.

Why It Worked

The rep is still the one who sends the email. The AI just removes the blank page and the delay. That turns out to be most of the problem.
